Microsoft Authenticator Setup

A step-by-step guide to enrolling in MFA with Microsoft Authenticator on your business Microsoft 365 account.

Your initial login to a business Microsoft 365 account triggers a Multi-Factor Authentication (MFA) setup requirement using Microsoft Authenticator. You’ll see a prompt indicating “More information is required.” Selecting Next begins the enrollment process.

This setup requires both a computer and a mobile device.

Mobile device steps

If you haven’t already, download and install Microsoft Authenticator:

  • iPhone users: App Store
  • Android users: Play Store

Important: The first search result isn’t always correct. Ensure you download the app with Microsoft in its name.

After installation:

  • Allow notification permissions
  • Grant camera access
  • Set the phone aside until instructed otherwise

Computer steps

  1. Open a web browser and navigate to https://aka.ms/mfasetup.
  2. Sign in with your credentials.
  3. Select Next at the “More information required” prompt.
  4. Proceed through the “Start by getting the app” and “Setup your account” screens.
  5. A QR code will appear — this is your signal to return to your mobile device.

Mobile: scanning the QR code

  1. Open Microsoft Authenticator.
  2. Tap the + icon in the top right.
  3. Select Work or school account.
  4. Choose Scan QR code.
  5. Point your camera at the QR code on your computer.

Completing setup

Your computer will display a two-digit number. Enter this number in the authentication prompt on your mobile device to approve the sign-in. Once approved, select Done on your computer.

Security note

Never interact with one of these notifications if being prompted by someone other than the IT professionals supporting your organization. Each prompt shows a location map — reject any unfamiliar sign-in attempts.
